HaulBoard

Privacy Policy

Effective: September 28, 2026.

Operator: HaulBoard LLC (Texas), EIN 42-5162623. Contact: support@haulboardcrm.com.

This Policy covers the HaulBoard web app, iOS app, Android app, and related sites (the “Service”). It is written for U.S. business operators and for App Store and Google Play listing needs.

1. Who this covers / roles

HaulBoard is a multi-tenant CRM for U.S. junk-haul and field-service crews. The Service is for businesses and for users 18 and older. It is not directed to children, and we do not knowingly collect personal information from anyone under 18.

  • Platform (HaulBoard LLC). We process operator account data and host the job and customer data operators enter so we can provide the Service.
  • Operators (tenants). For customer contacts, job photos, invoices, and job-pay charges, the operator decides why that customer data is collected and how it is used, and HaulBoard processes it on the operator’s instructions. The operator responds to consumer requests about jobs they ran. Requests about operator accounts go to us.
  • Job-pay merchant of record. When an operator connects Stripe or Square and charges a job card, the operator is the merchant of record. HaulBoard LLC is not the merchant of record for job pay and takes no cut of job payments.

2. What we collect

  • Account and organization. Name, email, sign-in provider (Google, Sign in with Apple, or email), org/crew membership, role.
  • Job and customer data operators enter. Customer names, phone numbers, email and service addresses, photos, quotes, invoices, notes, schedule.
  • Device and app metadata. App version, screen/route, approximate time, device/OS, and diagnostics needed to run and support the Service.
  • SaaS billing. Subscription status and the billing data Stripe needs for the HaulBoard LLC subscription. Full card numbers stay with Stripe.
  • Job-pay connections (optional). Connected account ID, OAuth tokens, the basic business profile the processor shares, and charge/refund/payout status. Job-pay card numbers stay with Stripe or Square.
  • Support. Notes you send through Report a problem or Send a suggestion, plus screen, app version, time, user/org ID, and operator email.

3. How we use it

We use this information to run HaulBoard, process SaaS subscription payments, provide support, secure the Service, meet legal duties, and improve the product using de-identified or aggregated usage. We do not sell personal information, and we do not share it for cross-context behavioral advertising. The mobile apps do not use advertising networks or third-party analytics tools, and HaulBoard does not track you across other companies’ apps or websites.

4. Service providers and other parties

We use the service providers below to run HaulBoard. They process personal information only to provide their services to us (or, for payment processors you connect, under their own terms with you). Any third party that receives user data from us must, by contract, give it the same or equal protection as this Policy and as app store rules require.

  • Clerk — sign-in and account management (email, name, sign-in provider, session data).
  • Vercel — hosting for the web app and APIs, and storage for job photos (Vercel Blob).
  • Neon — database hosting for account, job, and customer records.
  • Stripe — HaulBoard LLC subscription billing and sales tax; and, if an operator connects it, Stripe Connect for that operator’s job payments (the operator is the merchant of record).
  • Square — if an operator connects it, that operator’s job payments (the operator is the merchant of record).
  • Resend — if enabled, sending service and support emails.
  • Apple and Google — Sign in with Apple or Google sign-in when you choose them, and app distribution.

We may also disclose information when required by law or to protect HaulBoard LLC, our users, or others. When you connect Stripe or Square for job pay, their privacy notices apply to the payment data they handle for you.

5. Retention and security

  • Operator login. When you delete your account, your sign-in account is deleted right away.
  • Organization (workspace) data. If you are the only member of your organization, deleting your account automatically deletes the organization's data. Otherwise, the organization's data remains until its owner closes the workspace by emailing support@haulboardcrm.com with the subject "Close workspace", and we delete it within 30 days of a verified request.
  • Backups. Deleted data may remain in our hosting provider's encrypted backups for a limited period, after which it is automatically overwritten. We use backups only to recover from a system failure, and if we ever restore from a backup, we will re-apply any deletion you requested.
  • Support reports. Kept up to 24 months, then deleted.
  • Billing and tax records. Kept as long as tax and accounting law requires, generally up to 7 years.
  • Legal holds. We may keep data longer if needed to resolve disputes, prevent fraud, or comply with law.

Job photos are stored at unlisted web links that are hard to guess. Anyone who has a link can view that photo, so don’t upload images you wouldn’t want seen by someone who has the link. We use industry-standard safeguards. No method is perfect.

6. Your choices — account deletion

You can update or delete job data in the app. Cancel the SaaS subscription in web Settings (the store apps do not sell the subscription through in-app purchase or Play Billing).

Delete your account (permanent deletion, not a freeze):

To close an entire workspace, the account owner can email support@haulboardcrm.com with the subject “Close workspace” and the organization name. Export any records you need first. If you used Sign in with Apple, we revoke the related Apple tokens when we delete the account. Job-pay history may remain with Stripe or Square under the operator’s own merchant account.

7. U.S. privacy requests (including California)

You may ask to access, correct, or delete personal information we hold about you, and appeal a denial, by emailing support@haulboardcrm.com with “Privacy request.” We will verify the request before acting on it. We honor these requests for U.S. users whether or not a state law requires it.

Categories are listed in Section 2. Sale / share: We do not sell personal information and do not share it for cross-context behavioral advertising. If you send a “Do Not Sell or Share” request, we will confirm this and honor your access and deletion rights. If you are a customer of an operator, send requests about that operator’s job records to the operator; we will help the operator respond.

8. App Store / Google Play disclosures

Our store listings link to this Policy. Our Apple App Privacy details and Google Play Data safety answers match this Policy. HaulBoard does not use third-party advertising tracking. If that changes, we will update this Policy and our store disclosures first.

9. Text messages

HaulBoard drafts appointment texts (booked, on the way, finished) that your crew sends from its own phone’s Messages app. For those texts, HaulBoard is not the sender or the carrier. Operators must have their customers’ permission to text them and must honor opt-out requests.

If we enable automated texts sent on an operator’s behalf, we will send only service messages about a customer’s job, include opt-out instructions (reply STOP), and honor opt-outs. We will not sell or share mobile numbers or text-message opt-in data with third parties for their marketing.

10. Age and Texas law

The Service is for businesses and for users 18 and older. Where the law requires (for example, in Texas), we use the age and consent information the Apple App Store or Google Play provides only to confirm eligibility and to comply with the law. We do not use it for any other purpose, and we delete it after that check.

11. Changes

We may update this Policy. We will post material changes here and/or note them in the app, with a new effective date.
